Taking Flight 2.0: Tips to a Successful SuccessFactors LMS Implementation

In our previous article, (Taking Flight: Revamping Learning in Kaisa with SuccessFactors LMS), we talked about how SuccessFactors Learning transformed our learning and development approach. In this entry, we are sharing some of our learnings and tips to pave the way for a smooth learning journey for you and your organization.

 

Plan and communicate ahead

Adequately prepare your project team for their responsibilities and the deliverables expected from them, and ensure that they have allocated a sufficient amount of time during the requirements gathering phase. Many decisions have to be made for the design elements needed to build the system and this may be overwhelming for some business process owners who were not expecting the amount of involvement required.

 

Take full advantage of available SuccessFactors resources

Use the Project Team Orientation (PTO) materials and Job aids provided in Success Academy to better understand the functionalities of SuccessFactors Learning. This is to better equip you in making critical decisions during the requirements gathering and configuration phase.

 

Identify the most suitable training delivery methods for your learners

Explore how you can utilize the various modes of learning methods available and how it fits into your learners’ needs. While traditional classroom trainings may be the only mode of learning that was possible in your previous set-up, the capability of SuccessFactors Learning to deploy trainings via smartphones and other mobile devices may change the way you choose to deliver your training services.   This is an excellent opportunity to redefine your training programs for a better and more efficient learning experience.

 

Simplify admin roles and domain restrictions

While SuccessFactors Learning is fully capable of complex authorizations, avoid creating a system that is too limiting. If you configure your system to be too restrictive at the onset, your Administrators may be unable to perform essential actions. It is recommended to place restrictions later on, and only when necessary.

 

Streamline the approval process

Expedite the completion of training activities and encourage a learning culture by simplifying approvals. Lengthy approval routes discourage learners from initiating learning activities. A good yardstick? If any approval takes more than a week, then it may be time to revisit your process and see how it can be simplified.

 

Only implement features and functionalities that fit

SuccessFactors Learning offers one of the most robust learning platforms there is in the market; it has a wide range of features and functionalities that can accommodate the most essential learning requirements. It often becomes tempting to activate all available features to “maximize” the investment, regardless of the fit to your needs. This can complicate your system and make it less effective. Choose only the features and functionalities that are aligned with your organization’s learning goals.

 

Ensure successful user adoption

User adoption is critical in realizing the benefits of any system, but this can be quite a challenge for customers. System evangelists– critical influencers that will promote the use of the system within your organization helps ensure successful user adoption. In the past, this is typically a top-down approach with top management pushing for system usage. While this may force compliance, we find that a more effective method is to have advocates at all levels of the organization to encourage peer to peer transformation. There are available reports in the system, as well as the interval survey feature, to aid you in assessing the status of user adoption and how best to improve.

 

Refine and improve

As with any system or process, the key is to continuously find ways to make things better – whether it’s in terms of fresher content, simpler processes, or a better user experience. After all, our goal for learning is to create an improved version of ourselves, and the tool that helps make it possible should be developing right along with us.
